Dear Meeting Planner,
Putting on a successful meeting is a huge responsibility. I know your job can be stressful and your participants are counting on a Unique Experience. I will help eliminate some of your worries by pledging to work with you in the following areas:
In my pre-program preparation, I commit to:
- Be accessible to discuss plans for my speech and for your meeting.
- Be educated about your organization.
- Study your website, promotional material, prospectus or any other supplemental information that you share with me.
- Understand what your organization does and how you do it.
- Personally return emails and phones calls to you about the meeting.
- Submitting a comprehensive Pre-Program Questionnaire for you to explain in detail your meeting requirements.
- Offer suggestions upon your request to ensure a more successful meeting.
- Notify you in advance of my travel itinerary.
- Coordinate with other speakers or speaker’s bureau to ensure that your meeting objectives are met.
- Provide my supplemental information, i.e. biography, photos, handouts, resources, etc. upon your request.
- Provide any A/V or room set-up information in preparation for your meeting.
- Have a specific agreement for my services with you prior to my arrival.
- Offer to you my free list of tips for a great meeting.
- Be available for teleconference calls with the directors of your organization to further educate myself about your meeting and your organization.
- Know the theme of your meeting and understand why you have selected the theme.
- Tailor my material to suit the needs of your organization.
- Rehearse my presentation purposefully and anticipate questions and issues that your participants might want to know about.
- Making our communication as fluid and effective as humanly possible.
While On-Site, I commit to:
- Notify you when I arrive on site and contact you immediately in the event of delays or possible delays.
- Be accessible to you from the time I arrive until I leave.
- Retire early the night before my program so that I am completely rested.
- Eat appropriately during my visit so that I am totally energized and refreshed.
- Be reasonable, non-abusive and value conscious in the use of my expenses.
- Be in the meeting room at least one hour prior to my program for sound check, room set-up and logistical check.
- Cooperate completely with your set-up crew and other presenters to ensure that your meeting is professional.
- Make suggestions to the set-up crew regarding lighting, stage set-up, audio/visual as needed to enhance the environment of the meeting.
- Not make any A/V, room-set up or staging changes without your approval.
- Dress professionally and appropriately during my visit and especially during my program.
- Provide an easy, brief introduction and be available to coach my introducer.
- Be in the room, visible and available to you before my program begins.
- Circulate around the room and throughout the conference introducing myself to your guests to create rapport.
- Be cheerful, positive and upbeat during my entire visit.
During my presentation, I commit to:
- Approach the staging area with energy, enthusiasm and purpose.
- Adhere to the time frame that you have arranged for the meeting and for my program.
- Be completely respectful of the audience.
- Employ advanced adult learning strategies as possible to engage your participants in a meaningful event.
- Present my material in a logical, coherent manner.
- Be creative and spontaneous and responsive to the needs of my audience.
- Present the material in a way that reflects what was advertised to your participants.
- Allow for questions and comments from the audience during my presentation.
- Summarize my points to your organization and to the audience in a meaningful way.
- Be completely respectful of the diversity of the audience.
- Relate my points, stories, anecdotes and illustrations to your participants and the purpose of the meeting.
- Offer my educational resources in a respectful manner that has been pre-approved by your organization.
- Never abuse my assignment by turning my speech into a sales pitch.
- Be flexible, expect the unexpected and handle any challenges in a professional manner.
- Have fun, be cheerful, enthusiastic and offer information that causes your audience to thoughtfully consider their personal and professional improvement.
- Give 100%.
After my presentation, I commit to:
- Remain in the room to answer questions, respond to comments and offer feedback to the participants of the program.
- Promptly fill any orders for my products or resources and provide exquisite customer service.
- Remove my materials, props, and resources in a timely manner for any presentation to be delivered after mine.
- Check out and depart with minimal effort to you.
- Provide feedback as per your request on the success of the meeting.
- Itemize my expenses, provide receipts and bill you promptly as per our agreement.
- Suggest strategies to further the impact of my presentation for your participants.
- Never disclose any sensitive information about your organization.
- Be willing to accept personal phone calls or emails from audience members or executives regarding the presentation material.
- Request a letter of testimonial from your organization and to provide a recommendation if requested to your executive committee.
- Make sure that you received exactly what you expected from my presentation…AND MORE.
- Appropriately thank the meeting planners and parties responsible for my arrival to your event.
